5 Health IT Features Exclusive to Policy Management Software

June 28, 2011

The Need

We have many hospitals come to us for a policy management system because their current system (whether it be their Intranet or Sharepoint or LuciDoc) wasn’t sufficient for managing their policies and procedures.

To help you figure out whether you need a policy management software or not, we’ve listed features of a good policy management software that you just can’t get with other solutions.

Here are the top 5 features:

1. Compliance

  • Set a “Comply By” date for each policy
  • Track which employees have read a policy
  • Pull up compliance reports on a per-policy basis for Managers and Directors

2. Simple Folder System

  • Easy-to-create document tree folder structure
  • Separate content by sites or departments
  • Separate files by types (policies, procedures, forms, contracts, etc.)

3. Quick and Easy Search

  • Full policy cover page search by all fields (eg. policy name, policy number, maintainer, accreditation standards, etc)
  • Full document search using the ‘keywords’ field – this means that you’ll be able to search for words within the document, not just in the document title

4. Email Notification System

  • Automatic notification to policy owners (Maintainers and Approvers) before a policy is due
  • Customizable emails and notification triggers (first email sent before the due date) and soft reminders (emails sent after the first emails is sent before the due date)
  • Ability to create automatic reports of overdue policies sent to System Administrators

5. Robust User Access Controls

  • Hassle-free user set-up
  • Control of user access to certain policy folders (eg. so that only HR staff can see policies and contracts in the HR folder)
  • Control of user access to certain functions (eg. so that a user with an Editor account can only modify policies, but can’t sign-off on them)

Is It For You?

While similar software solutions can perform some of the functions of a policy management software, we’ve seen that – for the most part – trying to adapt them for policy and procedure (P&P) management just doesn’t suffice.

Your policy administrator will know whether these features are important to your hospital’s policy management. If that’s you – I’m sure the pain of not having these features in your current system resonates with you. It’s time you stopped using a software that’s meant for something else and start looking into policy management software.

If you’re ready to look into adopting a policy management solution check out the leading hospital policy management software, PolicyManager™.

In the UK, we tried this web based approach in Portsmouth NHS using a similar intranet approach. The problem was getting users engaged! They said “Do you want me to read policies or save lives!”.
The effort involved in chasing people to read the policies was just too difficult.
We think a system that can automatically get users to participate and enforce self-certification is much more appropriate for the Healthcare industry. We are currently looking at the products from MetaCompliance that seem to be next generation in terms of compliance automation.

    Hi complyin,

    Thanks for your feedback.

I think that getting users engaged about policies is a two pronged process, involving improvements on both the technical and cultural front. I’m interested in what it is about MetaCompliance products that particularly attractive with regards to compliance automation?

    Cheers,
    Daisy
